How to set up your company

After registering, you land on the admin dashboard. Go to Settings and enter your company name — this appears on timesheets and in emails sent to your team. Optionally upload a logo.

Your worker login link is generated automatically (e.g. tempo-app.com/login/yourslug). Share it with your team via WhatsApp, SMS, or email. Workers open the link on their phone and never need to install anything from an app store.

How to add workers

Go to Workers in the bottom navigation. Tap Add Worker. Enter the worker's name and assign a 4-digit PIN. The PIN is what they use to log in on the shared link — no email or password needed.

You can also set a worker as inactive to stop them from clocking in without deleting their history.

How to share the worker login link

Go to Settings → Worker Login Link. You'll see your unique link and a ready-to-send WhatsApp message you can customise. Tap Share via WhatsApp to send it directly, or copy the link and send it any other way.

Workers bookmark the link or install it as a home screen app (on iOS: Share → Add to Home Screen; on Android: browser menu → Add to Home Screen).

How to create projects

Go to Projects in the bottom navigation. Tap Add Project and give it a name (e.g. "Downtown Office Tower", "Site A"). Workers select a project when clocking in, so each time entry is tied to a specific job.

You can archive projects that are finished — archived projects won't appear in the clock-in dropdown for workers.

How to clock in and out

Workers open the app link on their phone, select their name, and enter their PIN. On the clock page, they select a project from the dropdown and tap Clock In. The timer starts immediately.

To clock out, tap Clock Out and confirm. The session is saved and will appear in their timesheet for the week.

How to submit a timesheet

Workers go to My Timesheets (the calendar icon in the bottom nav). They tap the current week to see all their entries. After reviewing, they tap Submit for Approval.

Once submitted, the manager receives an email notification and the timesheet status changes to "Submitted". Workers can still edit entries if the manager sends it back.

How to approve or reject a timesheet

As a manager, go to Review in the admin nav. You'll see all submitted timesheets. Tap a timesheet to review the entries. Tap Approve to confirm, or Reject to send it back with a note.

When you approve or reject, the worker receives an email notification automatically. Approved timesheets are locked and ready for export.

How to export timesheets to Excel

Go to Export in the admin nav. Select a date range and optionally filter by worker or project. Tap Export to Excel. You'll download an XLSX file with one row per time entry and a summary sheet with totals.

The export is designed to be copy-pasted directly into your payroll spreadsheet.

Troubleshooting

Worker can't clock in

Check the worker is active: Go to Workers in your admin. If the worker shows as inactive, tap them and toggle them back to active.

Check there is at least one project: Workers see "No projects available" if no active projects exist. Go to Projects and add one.

Wrong PIN: The worker may be entering the wrong PIN. You can reset their PIN in the Workers section — tap the worker, then change their PIN.

Timesheet not showing up

Timesheets are generated automatically when a worker has at least one clock entry for a week. If a timesheet is missing, check that the worker actually clocked in and out (not just in) — an open session doesn't create a complete entry.

If the worker has entries but the timesheet still doesn't appear in Review, ask them to log out and back in to refresh their session.

Forgot PIN / can't log in

Workers don't have passwords — only PINs. If a worker forgets their PIN, an admin can reset it:

1. Go to Workers in admin 2. Tap the worker's name 3. Enter a new 4-digit PIN and save

The worker uses the new PIN immediately — no email confirmation needed.

If you (the admin) are locked out of your account, use Forgot Password on the admin login page to reset via email.
